Follow these steps to connect your HubSpot account and manage your inventory seamlessly with Inventory Panda.
1. Log into Inventory Panda
- Go to the Inventory Panda login page.
- If you don’t already have an account, click “Create Account” and complete the sign-up process.
- Once your account is ready, enter your email address and password, then click “Login to your account.”
2. Connect Your HubSpot Account
- Once logged in, click on “Connect HubSpot Account.”
- On the connection page, select “Sign in to your HubSpot account.”
- Click “Log in.”
- Choose the HubSpot instance you'd like to connect and click “Choose Account.”
- Review the permissions requested by Inventory Panda, check the agreement box, and click “Connect app.”
3. Verify Products Synced from HubSpot
- After connecting, your HubSpot products will automatically appear in the Products tab of Inventory Panda.
- To verify the sync, log into HubSpot, navigate to Commerce → Products, and confirm that the product list matches what you see in Inventory Panda.
4. Configure Inventory Rules Based on Deal Stages
- In Inventory Panda, click your profile icon, select “Settings”, and go to the “HubSpot Settings” tab.
- Configure when inventory should be reduced:
- Under “Reduce inventory from reserved”, select deal stages such as “Qualified To Buy” and “Decision Maker Bought-In.”
- Under “Reduce inventory from sold quantity”, select stages like “Closed Won” and “Contract Sent.”
- Click “Save Changes.”
Note:
- “Reduce from Reserved” is used when items are in quoting or negotiation stages and should be marked as held.
- “Reduce from Sold Items” deducts the inventory once a deal is confirmed as sold.
5. Add Initial Product Quantities
- Navigate to the Products tab in Inventory Panda.
- For each product (e.g., Ageless Elixir Serum or Aqua Mist Toner):
- Click the three dots next to the product name.
- Select “Add Quantity”, input the amount (e.g., 100), and click “Add.”
6. Test the Setup with a New Deal in HubSpot
- Go to CRM → Deals in HubSpot and click “Create deal.”
- Enter the following:
- Deal Name: IP Deal
- Pipeline: Sales Pipeline
- Deal Stage: Presentation Scheduled (or any stage you configured earlier)
- Deal Type: New Business
- Priority: Medium
- Associated Contact: Mark Smith
- Company: Inventory Panda
- Under Add Line Item, search for Aqua Mist Toner, set the quantity to 10, and confirm the amount.
- Click “Create.”
7. Confirm Inventory Update
- Once the deal is created, scroll down in the deal view to find the custom “Available Products” CRM card powered by Inventory Panda.
- It should show Aqua Mist Toner with a reserved quantity of 10.
- In Inventory Panda, go back to the Products page and confirm:
- Reserved Quantity has increased to 10.
- Available Quantity has decreased accordingly (e.g., from 50 to 40).
